Categorizing Outlook Appointments (Color Coding)

1. Click Calendar from the Navigation Pane.
2. Open appointment to categorize.
3. Click the Appointment tab on Ribbon. Click Categorize in the Options group. The category selections display with associated colors.
   
4. Select category. The category name with associated color displays above the Subject field of the open appointment.
5. Click Save & Close. The appointment displays shaded in the category color.
   

• Clicking the Categorize button on the Appointment Occurrence tab or right clicking on appointment are additional methods to assigning categories.
• Appointments can have multiple categories assigned.
• To remove a category, right click on appointment. Click Categorize. Click on the category to remove or select Clear All Categories to remove multiple categories.

Inserting Screen Shots into an Outlook Message

Windows that are open can be inserted into the body of an email message.

1. Open Outlook.
2. Click Inbox from Navigation Pane.
3. Click Home tab from Ribbon.  Click New E-mail from the New group.  Message dialog box displays.
4. Enter recipient(s), subject and message.
5. Click Insert tab from Ribbon.  Click Screenshot drop down from Illustrations group.  A list of available windows display that can be inserted into the body of the message.
   
6. Click the screenshot to insert. Image is inserted.

• Cursor must be positioned in the message body for the Screenshot button to be active.
• Images can be resized and rotated within the message body.
• Click Screen Clipping from the Screenshot drop down to click and drag an area of the screen to insert into message body.
